Position Summary

The Event Coordinator of the SUNY Cortland Campus Event Management Office will have a responsibility to manage both small and large-scale events while building strong and positive relationships with all event hosts and attendees. They will provide clear and direct communication regarding planning and execution of high-quality events and functions. They must facilitate the needs of clients, sponsors, and vendors as they relate to events in an efficient and effective manner to provide a positive experience. This position will lead in developing, creating and maintaining the campus event management website, and social media platforms.

Major Responsibilities

Assist the Campus Event Management Office with coordination, execution, and administrations of all events coordinated through the Campus Event Management office

Execution of events within the event timeline and budget requirements

Schedule and lead post-event breakdown and debriefs

Assist with event inquiries, including event hosts, attendees, and potential users of the SUNY Cortland facilities

Develop and maintain the campus event management website as an overall front-line guest experience, showcasing the campus' event spaces, technological abilities, and details for how users can book events at SUNY Cortland

Create and implement the marketing and social media plan, including creating graphic elements and materials for all campus event management events according to the SUNY Cortland Style and Writing guides. This includes the programs, seating charts, itineraries, scripts, timelines, and checklists in an easy-to-understand format so that all the event details are easily accessible

Assist in managing communication from the Campus Events Management Office, including TeamDynamix responses, emails, and phone calls, ensuring messages align with the University's policies and procedures

Contact third party vendors such as Cortland Auxiliary Services, florist, caterers, linens, etc. regarding services needed for events

Develop and maintain relationships with other university departments and offices to assist in the execution of events, including, but not limited to, the Marketing Office, President's Office, Facilities, University Police Department, Campus Technology Services, Campus Activities, Alumni Engagement, and academic departments

Create and maintain event inventory, computer les, digital templates, and audiovisual requirements is an easy and reportable method

Actively participate in campus and community committees as needed to improve the knowledge and services offered through the Campus Event Management Office

Lead the initiative in obtaining event volunteers, marshals, and assistants as well as supervise and train these positions

Functional and Supervisory Relationships

Reports to the Associate Director of Campus Event Management

Assists in scheduling and assigning tasks to event volunteers and student workers

Required Qualifications

Associates degree

Minimum of 1 year of experience with event coordination, execution, and customer service

Experience with graphic design, website development, and various social media platforms

Preferred Qualifications

Bachelor's degree, or higher

Experience working within set budgets and maintaining high-level events

Supervisory experience with students, faculty, staff, or volunteers

Previous event experience working in higher education

Knowledge, Skills & Abilities

Demonstrated self-initiative and ability to adapt to a fast-paced and ever-changing environment

Demonstrated high level of creativity, resourcefulness, strategic planning, and dynamic decision making

Proficient knowledge in Microsoft Office Suite, Adobe Suite, and other software applications

Ability to work a non-traditional schedule including nights and weekends

Ability to work in a team environment while also being a self-starter

Strong organizational skills

Strong oral and written communication skills

Strong attention to detail

Ability to work with a wide range of constituencies in a diverse community

Strong problem-solving skills
