Assistant Athletic Director - Job Description

Reports To: Athletic Director

Employment Type: Administrative Position - Contracted Number of Days TBD

FLSA Status: Exempt

Salary: Commensurate with experience and education level

The Assistant Athletic Director provides administrative leadership for the middle school athletic program and assists the high school Athletic Director in the coordination and supervision of the total athletic program. The Assistant Athletic Director supports student participation, coach effectiveness, program compliance, event administration, communication, and alignment of athletic expectations and opportunities across grades 6-12.

Essential Duties and Responsibilities

  • Provide administrative leadership for the middle school athletic program, including oversight of scheduling, operations, communication, supervision of events, and program implementation.
  • Assist the high school Athletic Director with the coordination and administration of the high school athletic program.
  • Promote alignment and continuity between middle school and high school athletics in areas such as expectations, communication, sportsmanship, supervision, and student development.
  • Coordinate middle school athletic schedules and assist with high school schedules, changes, special events, and postseason preparations as assigned.
  • Assist in securing officials, event workers, transportation, and other operational needs for athletic contests and practices.
  • Provide administrative supervision for assigned athletic contests and events, including crowd management, student supervision, facility readiness, and post-event follow-up
  • Assist in monitoring student-athlete eligibility, required forms, physicals, academic requirements, and other participation expectations.
  • Help ensure compliance with Board policy, conference expectations, IHSAA regulations where applicable, student safety requirements, and district procedures.
  • Assist with the hiring, onboarding, support, supervision, and evaluation of coaches, with primary responsibility for middle school coaching staff as assigned.
  • Provide leadership and support to coaches in the areas of communication, conduct, supervision, program expectations, and student-centered practice.
  • Serve as a point of contact for middle school athletic communication with students, families, staff, and community members, and assist with communication related to high school athletics as needed.
  • Assist in the preparation and monitoring of athletic budgets and oversee middle school equipment, uniforms, inventory, and purchasing processes as assigned.
  • Coordinate with principals, transportation staff, custodial staff, maintenance staff, school nurses, and other district personnel to support efficient athletic operations.
  • Support efforts to promote sportsmanship, citizenship, attendance, academic responsibility, and positive student participation in athletics.
  • Assist in addressing parent, student, and staff concerns related to athletic participation, supervision, scheduling, and program operations.
  • Maintain accurate records, reports, and documentation related to scheduling, eligibility, participation, equipment, and assigned program responsibilities.
  • Represent the district and athletic program in a professional manner at school events and in interactions with students, families, staff, officials, and community members.
  • Perform other duties assigned by the Athletic Director, building principal, or district administration related to athletics, activities, student supervision, and school operations.

Qualifications

  • Valid Indiana administrator license, or other qualifications as determined appropriate by the district for an administrative position.
  • Bachelor's degree required; master's degree preferred.
  • Demonstrated experience in education, coaching, athletic administration, or school leadership.
  • Knowledge of interscholastic athletics, student supervision, event administration, and school operations.
  • Knowledge of applicable school board policies, student eligibility requirements, safety procedures, and athletic regulations.
  • Strong organizational, communication, interpersonal, and problem-solving skills.
  • Ability to work a flexible schedule, including evenings, weekends, and school breaks as needed.

Preferred Qualifications

  • Previous experience in athletic administration or school leadership
  • Experience supervising staff and managing athletic events
  • Knowledge of IHSAA regulations and middle school athletic programming

Physical Demands: Must be able to talk, hear, sit, stand, walk, and use hands to handle objects. Occasionally required to lift and/or move up to 20 pounds. Vision abilities required include close vision, distance vision, and the ability to adjust focus.

Work Environment: The work environment is a standard classroom/office/etc setting with moderate noise levels.

Terms Of Employment: Length of school year and salary determined by the Wawasee Community School Corporation School Board.

Evaluation: Performance evaluation will be conducted according to the school district's policies and guidelines.
