Hiring Range: $45,909 - $48,204
The Special Events Coordinator plans, organizes, and performs any tasks associated with Town-sponsored specialized programs and special events, includingbut not limited topromoting, setting up facilities, directing and supervising volunteers and instructors, facilitating programs, cleaning up facilities, and evaluating program effectiveness, under the direction of the Special Events Program Supervisor.
The Special Events Coordinator works on assigned special projects, manages the Town's marketing and branding initiatives, researches and applies for grants, and oversees the PRT webpage and social media platforms. This position requires working on weekdays, weekends, and occasional nights, including some holidays and evenings. This is a full-time, 40-hour-a-week, non-exempt position that includes benefits.
These duties and responsibilities are not intended to be all-inclusive . Employee may perform other related duties as negotiated to meet the town's ongoing needs .
- Assists with Processing, communication, and coordination of the Town's Special Event Application process.
- Prepares program promotional materials and informs employees and participants of program activities regularly.
- Performs administrative tasks such as utilizing a computer to complete projects, typing, copying, and faxing materials as needed, updating files, informing citizens of program status, and responding to inquiries in person, over the phone, or via email.
- Recruits, trains, assigns, and supervises vendors, volunteers, and event staff to assist with program tasks.
- Procures services and/or donations for programs by contacting local businesses, researching and applying for grant opportunities, and developing partnerships with local organizations.
- Ensures the safety of all participants. Treats minor first-aid incidents, completes accident reports, and provides a copy to the Special Event Supervisor.
- Assists with athletic and recreation programs as needed.
- Assist with the front desk at the Community Center.
- Performs work on special projects as assigned.
- Works a self-directed schedule that may include nights and weekends, according to program needs, with little or no supervision.
- Assists all divisions of the PRT department as required.
- Assists with tracking Special Event program expenses and reports to the Special Event Supervisor.
- Always maintain a clean work environment.
- Performs work during emergency/disaster situations.
- Performs other duties of a similar nature or level.
Qualifications
Education and Experience
Bachelors Degree in recreation/tourism, event planning, or related field and one (1) year of work experience in the field of recreation, special events, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job, such as those listed above.
Licenses and Professional Certifications
- Valid NC Driver's License
- Certified Park and Recreation Professional (preferred)
- Valid NC Commercial Driver License - passenger endorsement (preferred)
- Bloodborne Pathogens (BBP)
- CPR/AED Certification (preferred)

The ICS/NIMS course minimums required for all employees include FEMA IS-100, IS-200, IS-700, and IS-800. Additionally, employees assigned middleand upper-level responsibilities within incident operations may be required to complete additional follow-on courses deemed necessary by Emergency Management and Human Resources staff.

Working Conditions
Employee is primarily subject to inside environmental conditions, such as the lighting, temperature, and noise of an open floor-plan office environment. The employee may be frequently exposed to insects, dirt, grass, and weather elements, including rain, wind, varying temperatures, etc.
Physical Requirements
A portion of work is performed in an office environment, primarily behind a desk, and frequently includes a computer. The employee must read, write, and interact with others in person, over the phone, and via other devices. The employee may move within the facility to access file cabinets, documents, office machinery, and other equipment. Travel is often required outside job sites to perform the duties described above and attend meetings, training, events, and other business activities. Persons in this position frequently lift, carry, push, and/or pull objects weighing up to 10 lbs. They also occasionally move objects weighing up to 25 lbs. sometimes, but rarely, up to 50 lbs. Additionally, work may require standing, walking, running, reaching, bending, twisting, stooping, crouching, kneeling, crawling, lifting, carrying, and/or moving equipment, pushing, pulling various objects, climbing stairs and ladders, and operating assigned equipment, including motor vehicles.
